Common questions about our Xero integration services and development process
A Xero integration is a connection between Xero and another system so that financial data moves between them automatically instead of being entered twice. In practice that means an order, invoice, payment, timesheet or expense created in one system appears in Xero without anyone retyping it. Integrations are built against the Xero API, which exposes Xero's accounting records to authorised applications.
The Xero API is a REST API. An application authenticates using OAuth 2.0, the user consents to which Xero organisation the app may access, and Xero returns an access token that the application sends with each request. The application then reads and writes records such as invoices, contacts, payments, bank transactions and tracking categories. Tokens are short-lived and refreshed automatically, and requests are subject to Xero's published rate limits, so integrations must queue and retry work rather than firing unlimited calls.
Common connections are e-commerce platforms such as Shopify, WooCommerce and Magento, CRM systems such as Salesforce and HubSpot, inventory and stock management systems, project and time-tracking tools, HR and payroll systems, payment providers such as Stripe and GoCardless, and bespoke line-of-business applications. Anything that can make authenticated HTTPS requests can be connected to Xero.
Both are possible. A one-way integration pushes data in a single direction, for example sending completed sales orders into Xero as invoices. A two-way integration keeps records synchronised in both systems, for example writing invoices into Xero and reading payment status back out so the originating system knows what has been settled. Two-way syncing needs clear rules about which system owns each field, otherwise the two copies drift apart.
Xero integrations use OAuth 2.0 rather than stored usernames and passwords, so credentials are never held by the connecting application. Access tokens are scoped to the permissions the user granted, data is transmitted over TLS, and tokens should be stored encrypted at rest. Because the data is financial and often personal, UK GDPR obligations apply, so an integration should also log what was synchronised and when.
